City Going Paperless, Getting A Mobile App
WARSAW — The city of Warsaw will be going paperless, a little at a time, in regards to board packets for the Board of Works an Common Council meeting. Other city boards may follow at a later time. The city will also have its own mobile application.
During the Friday, Aug. 7, Board of Public Works & Safety meeting, the board approved use of an Internet/cloud-based program called BoardPaq. The cost for one year, 10 licenses, is $1,247.40. Additional licenses is $9 per month. The city will same money on printing supplies and copier maintenance fees along with employee time and travel expenses in delivering packet items and the packets themselves.
Also approved was a development and annual support/maintenance of CivicMobile App for a city mobile app. The cost is $6,350. The new app, when available, will be connected to the city’s website. Staci Young, assistant to the mayor, presented the proposal.
She stated in one year the city’s website had 99,947 visits, with the average visitor using a mobile device at ay given time. While there is a mobile format for the website, it is not engaging and limited in which tools and resources can be used. Young stated there have been frequent comments on the need for a more mobile-friendly option. This app will provide that.
The CivicMobile app will allow citizens to submit requests, concerns and questions through the request tracker. The information will be sent to the correct city employee, updates provided through the system and cases will be closed when resolved. Citizens would also receive notifications when the problem has been resolved.
“The app will also provide more engaging experiences for job listings and applications, meeting agendas and minutes, city calendars, parks and recreation event listings and more,” said Young.
During other business:
- Approved two-year parking facility lease agreements with Stephen P. Harris and Carla A. Harris, at a cost of $8,400 per year; and Phillip J. Harris and Maxine Harris, at a cost of $9,000 per year. The contracts include the agreement the city’s responsibilities will be limited to snow and ice removal and trash/litter removal, along with access to the property between the parking blocks and the building owned by the Harris’ It will be up to the property owners to repair/maintenance of the lots.
- Awarded the bid to Pyramid Equipment, Inc., Rolling Prairie, for a side load garbage truck, at a cost of $249,125.
- Approved the closure of a portion of Indiana Street, from the old Jail museum to the parking lot at Central Lake; Main Street, from High Street to near the fire station; and Fort Wayne Street, from the fountain area at Central Park to Buffalo Street, on Saturday, Sept. 26, for the annual Cubmobile event. The streets will be closed from 6 a.m.-1 p.m.
- Signed an accounting services agreement with Umbaugh & Associates, Mishawaka, for proposed sewage works refunding bonds of 2015.
- Approved payment of a one-year annual fee of $350 on behalf of city employees for a corporate membership fee to the YMCA. This fee will be reimbursed through Wellness Dollars provided by the IACT Medical Trust.
- Approved the grant agreement for the fire department for a $1,000 Kosciusko REMC Operation Round Up Grant for Family Safety Day.
- Approved a contract with Silly Safari Shows, Inc., for entertainment during the Family Carnival, Friday evening, a cost of $400.
- Approved the purchase of a new mower from Hoffman Outdoor Power Equipment, Inc., Etna Green, for the parks department, a cost of $4,950.
- Signed a two-year inter-local agreement/contractual price adjustment with Warsaw Community Schools for school resource officers, a total cost of $33,672.
